2. If You Are Receiving Email From Us
If you received a message from Groundwork introducing a service or product on behalf of one of our clients, your contact details were obtained from one or more of the following sources:
- Business-to-business contact databases such as Apollo.io, where your professional information was made available for B2B outreach
- Publicly available business sources (company websites, LinkedIn, professional directories, public registries)
- Direct introductions or referrals from existing contacts
You can ask us to stop contacting you at any time and to remove your information from our systems. See “Your Rights” and “Opt-Out” below.
3. What Information We Collect
From visitors to this website who submit a request:
- Your name and company name
- Your email address
- Information about your target market that you choose to share
- How you heard about Groundwork
From recipients of our outreach on behalf of clients:
- Professional contact information (name, role, company, business email)
- Publicly available business context relevant to whether a client’s product or service is relevant to your company
- Replies you send to us and any information you choose to share in those replies
- Standard email metadata necessary to deliver and thread messages
From clients who engage Groundwork for outsourced business development, we process the data they instruct us to process (typically target market criteria and prospect lists).
We do not collect payment information through this website, install advertising or tracking cookies, or use third-party behavioural analytics.
4. How We Use Your Information
We use information to:
- Respond to website enquiries and sample requests
- Conduct outreach on behalf of our clients to introduce their product or service to potentially relevant decision-makers
- Maintain a record of communication threads so we can follow up appropriately and avoid duplicate contact
- Classify replies (positive interest, decline, opt-out, etc.) so we route the conversation correctly and respect opt-out requests
- Report outcomes to the relevant client so they can evaluate whether to engage with a prospect we have introduced
We do not sell, rent, or share your personal information with third parties for marketing purposes outside the specific client engagement that prompted the outreach to you.
5. Legal Basis for Processing — Legitimate Interest
Groundwork conducts business-to-business buyer identification and outreach where there is a legitimate commercial interest in introducing potentially relevant products, services, or business opportunities to professional decision-makers.
We seek to ensure that communications are relevant to the recipient’s role, proportionate in frequency, and include a clear means to object to further contact.
6. Email Communications
Business communications sent by Groundwork identify the sender, provide appropriate contact information, and honour opt-out requests in accordance with applicable law.
7. Use of AI
We use AI to assist with research and outreach. AI helps us prepare and refine drafts of messages, identify potentially relevant buyer intelligence, and categorise replies so the right follow-up action is taken. All outbound communication is reviewed under operator oversight before it is sent.
8. Subprocessors
We use a small number of trusted service providers to operate Groundwork. Current subprocessors:
- Apollo.io — B2B contact database used to identify potentially relevant decision-makers
- Google (Gmail API) — sending and receiving email from our company inboxes
- Anthropic — AI model provider used to support drafting and classification
- Cloudflare — secure access to our operational dashboards
- Xneelo — South African hosting provider for this website
Subprocessor list current as of the “Last updated” date above. If this list changes materially we will reflect that here.
9. Data Storage and Retention
Operational data is stored in our internal systems, primarily on infrastructure we control. We retain information for as long as there is a legitimate business reason to do so — typically for the duration of a client engagement and a reasonable period afterwards for record-keeping and audit purposes — or until you ask us to delete your information.
10. International Operations
Groundwork may provide services to clients and prospects located in multiple jurisdictions.
Where local privacy, marketing, or data-protection laws apply, Groundwork seeks to conduct its operations in accordance with those requirements and may implement additional safeguards, disclosures, or contractual protections as appropriate.
11. Your Rights
Under South African law (POPIA) and, where relevant, the EU General Data Protection Regulation (GDPR), you have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Object to your information being used for direct marketing, including outbound outreach on behalf of our clients
- Withdraw consent where processing is based on consent
To exercise any of these rights, contact us at [email protected]. We will respond to verified requests in line with the applicable law.
12. Opt-Out
You can ask us to stop contacting you at any time by replying to any email you received with the word “unsubscribe” or “stop,” or by emailing [email protected]. An opt-out applies across Groundwork, not just the specific client engagement that prompted the message to you. We will also action opt-out requests on behalf of our clients on receipt.
13. Changes to This Policy
We may update this policy from time to time. The date at the top of this page reflects the most recent update. Material changes that affect how we handle your information will be reflected clearly in the relevant section.
